Stop chasing invoices manually with credit control software for small businesses

Debtics chases your overdue invoices so you do not have to. Import your receivables from a CSV and the platform follows up automatically on WhatsApp, email and SMS using your own templates, records every promise to pay, and flags the ones that break. One live queue replaces the spreadsheet, and you step in only when a customer actually replies.

Owner-led collections
You are the CEO, the salesperson and the collector, and chasing is the job that slips first because it is the least pleasant. Debtics does the chasing on a fixed schedule, so it happens in the weeks you are too busy to think about it.
Spreadsheet chaos
Who promised what, when, and did they actually pay? One import replaces the spreadsheet with a live queue, a full contact history per customer and automatic flags on the promises that were not kept.
Chasing without losing the customer
For a small business the client you are chasing is often the client you need next quarter. Tone is set per segment, messages go out on your own templates, and contact caps and quiet hours stop anyone being chased into a corner.
HOW IT WORKS

From first import to recovered payment, in four steps.

1
Onboard your receivables
Drag-and-drop CSV or sync from Zoho, Odoo, Sage or Oracle. Auto-mapping and duplicate detection mean no cleanup homework first.
2
Auto-segmentation & scoring
Every customer classifies into Soft Touch → Firm Action by amount and days overdue, with a score showing who’s most likely to pay.
3
Follow-ups run on autopilot
Five polite-to-firm touchpoints across five business days on WhatsApp, email and SMS, repeating weekly until the customer responds. You do nothing.
4
Get paid, or know why not
Promises are tracked and broken ones flagged automatically, and you see every dirham recovered on a simple dashboard.
THE PLATFORM

Everything a collection team runs on, in one system.

Debtor 360
Every account in one drawer, overview, contact history, promises-to-pay, portal messages, documents and notes. Agents act with full context, never from memory.
Smart segmentation & scoring
Accounts auto-classify into Soft Touch, Warm Chase, Firm Action, Legal Track and Write-Off by balance and days-past-due, with a weighted recovery-likelihood score.
5×5×5 automation engine
Five touchpoints across five business days at five times of day, repeating weekly until the debtor responds. Business days only; quiet hours and contact caps enforced.
Promise-to-Pay tracking
Record promises from any call or message. Broken promises auto-flag the day they lapse, and payments reconcile against the exact promise they fulfil.
Legal recovery track
Refer accounts to legal with case number and court. Cases flow Pre-Legal → Submitted → Judgment → Written-Off with a case timeline, an assigned handler and lawyer notes.
Defaulter self-service portal
Debtors view statements, message your team and raise disputes themselves. Objections pause outreach and notify your queue instantly.

FAQ

Common questions from SME owners.

Is Debtics overkill for a small team?
It is built to replace the spreadsheet, not to add work. One person can import invoices, switch on automation and handle only the replies. Roles cover Platform Admin, Recovery Manager, Team Leader and Recovery Agent, so a team of one uses the same system a team of twenty would, and nothing needs restructuring when you grow into the other roles.
Do I need to write the reminder messages myself?
No. Debtics ships with ready-made templates for WhatsApp, email and SMS, with placeholders for names, amounts and due dates that fill in per customer. You can edit any of them to match how you actually speak to your clients. An Arabic interface with full right-to-left layout is supported for teams that need it.
What does the 5×5×5 follow-up mean?
Five touchpoints spread over five business days, each at a different time of day, then repeating weekly until the customer replies, pays, or an agent logs a note or disables the sequence. It is persistent without being spammy: it runs on business days only and respects quiet hours and contact caps automatically.
How are part payments tracked?
Each invoice is tracked separately with its own due date and reminder sequence. Record a promise to pay with an amount and a date against a specific invoice, and every payment reconciles against the exact promise it fulfils rather than being absorbed into a single running balance. Broken promises flag automatically the day they lapse.
We pay VAT on invoices our customers have not paid yet. Does Debtics help with that?
Debtics does not handle your VAT filing. It addresses the underlying squeeze, which is the length of time between raising a tax invoice and the cash arriving. Consistent automated follow-up on every overdue invoice shortens that gap, and the aging report shows exactly how much you are currently carrying and for how long.

Debt collection software for SMEs in Dubai, UAE

Small and medium businesses in Dubai and across the UAE lose more to late payments than to bad debt. Invoices that pay 60 or 90 days late strain payroll, rent and supplier terms. Most SMEs chase from a spreadsheet, inconsistently, whenever someone finds the time. Debtics makes follow-up automatic: import your invoices by CSV, and the platform chases every overdue account on a fixed cadence across WhatsApp, email and SMS.

The problem is rarely that an SME owner does not know who owes them. It is that chasing is the task that gets dropped in a busy week, and the customers who pay late learn quickly which suppliers follow up and which do not. Automating the sequence removes the decision entirely. The reminders go out whether or not anyone had time, which is most of what separates a business with predictable collections from one without.

There is a specifically local dimension in the UAE. VAT is accounted for against the tax invoice rather than against the date the cash lands, so an SME can be funding tax on revenue it has not collected. Debtics does not file your VAT, but shortening the time between invoicing and payment is the only lever that actually reduces how long you carry that gap, and the aging report tells you what you are carrying right now.

Every customer gets a full Debtor 360 record; promises-to-pay are tracked and broken ones flagged; escalations move from Open through In Progress to Resolved; and a simple dashboard shows recovery rate, aging buckets and exactly where your cash is stuck. It is an outstanding-payment tracking system UAE small businesses run themselves, with a free 14-day trial and no credit card required.
